Hidden Fees Explained

Federal Universal Service Fund (FUSF)

7-12% of interstate charges

A government-mandated fee that funds phone service in rural areas, schools, and libraries. The rate changes quarterly. Providers pass this through at different rates, so it varies from $0.60 to $2.10 per user per month.

E911 Fee

$0.30-$2.50/line

Funds enhanced 911 services for VoIP users. The rate is set by your state or municipality. In New York, it is $1.50/line. In Texas, $0.50/line. Some providers absorb part of this cost, others pass the full amount through.

Regulatory Recovery Fee

$1.00-$3.25/line

This is the tricky one. Despite the official-sounding name, this fee is set by the provider, not the government. It covers the provider's cost of complying with FCC regulations. Vonage charges $3.25/line. Ooma charges $1.00. The difference adds up fast.

Administrative Fee

$0-$0.50/line

Some providers add a separate administrative fee. Nextiva charges $0.50/line. Most others bundle this into the regulatory recovery fee. Always ask for a complete fee schedule before signing up.

Number Porting Fee

Usually free

Most providers port your existing numbers for free. Vonage charges $10-$25 per number in some cases. RingCentral, Nextiva, and Dialpad handle porting at no charge. Confirm this before you commit.

International Calling Surcharges

Varies widely

8x8 includes calling to 14-48 countries depending on plan. RingCentral and Vonage charge per-minute rates for international calls unless you add an international plan. Budget an extra $5-$20/user/month if your team makes regular international calls.

The Honest Caveat

These savings assume reliable internet. If your office has frequent internet outages or speeds below 10 Mbps for a 10-person team, VoIP call quality will suffer and productivity losses may offset the cost savings.

Before switching, run a speed test during peak hours, check your ISP's uptime history, and consider a backup cellular hotspot ($30-$50/month) for redundancy. Even with the backup connection, VoIP saves most businesses 40-50% compared to traditional phone service.
